Terms and Conditions

Registration/Attendance and Collection

On arrival at the Club your child must register. If for any reason your child is not going to be at the Club on an arranged day, please inform the Club Leaders on their Mob. Tel. No. 07860829913 as soon as possible.
Your child is only permitted to leave the club with a ‘named contact’ (as disclosed by you on the Registration Form). If an unauthorised person arrives to collect your child, they will not be permitted to leave until we have made contact with you or one of the ‘named contacts’.
No child under the age of 16 is permitted to collect your child.
Your child must be collected by 4.30 pm from the Short Stay Club. Failure to collect your child by 4.30pm will result in a late collection fee of £10 for every 15 minutes or part thereof. This charge will apply even if a phone call notifying the club of late arrival is made and will be payable from 4.35 p.m. onwards. Persistent lateness may result in your child losing their place at the Short Stay Club. Persistent lateness is deemed as 3 times during a half-term. If you have not made any contact with the Short Stay Club and your child is not collected within half an hour of closing then the Short Stay Club will have to contact the relevant authority, i.e. Social Services and Police

Change of Sessions

If, at any stage, you intend to give up any sessions, or your child’s place at Short Stay Club we will require two weeks’ notice and confirmation of the date of change in writing. Please note that the two week notice will take effect from receipt of the letter and not the date of the letter. Please be aware that once we have received such a letter we will be offering the place to other children on our Waiting List!


Fees are due every half term and are payable in ADVANCE. Non payment of fees will result in your child losing their place in the Short Stay Club. Fees must be paid through the Parent Pay website in advance of the sessions.
If you choose to send your child into any other after school activity club before attending Short Stay, there will be a small reduction in your session fee. Absence due to term time holidays or sickness will still incur the normal charge for a session.

Policies and Procedures

The Short Stay Club is run by Stanburn Primary School. To ensure the safety, protection and to provide the best possible care for your child, the Club will adhere to Stanburn Primary School Policies and Procedures. These are available for you to view at any time at the Club and on the School website. The policies include The Safeguarding, Behaviour, Equality and Discrimination policies, Child Protection and Complaints.


Should you have a complaint about our Club, or a member of staff, please inform the Club Leader in the first instance. If the matter is not resolved to your satisfaction please follow the procedures set out in our Complaints Policy.


Please complete and return the following forms. You will be notified as soon as possible if we are able to allocate a place or that your child’s name has been placed on the Waiting List. Membership cannot commence until your acceptance has been received.
